Torquay Trip Infomration Pack

Thank you for your interest in this exciting tennis trip to Torquay. Please read the information below before giving your consent for your child to attend.

Supervision & Safeguarding

Your child’s safety is our highest priority.

  • All staff are DBS-checked.

  • Qualified first aiders on site and on all activities.

  • Tennis sessions run by certified coaches.

  • Staff-to-player ratios meet recommended LTA and group activity guidelines.

  • Children supervised during all sessions, free time, meals, and overnight.​

Medical, Behaviour, and Additional Needs

Parents must provide accurate and up-to-date information on:

  • Medical conditions

  • Allergies

  • Medication required

  • Injuries (recent or ongoing)

  • Behavioural needs

  • SEN or learning requirements

  • This enables staff to plan appropriately and ensure every child’s welfare during training and activities.

  • Medication will be securely stored and administered according to parental instructions.

Accommodation & Meals

  • Children will stay in safe, comfortable shared rooms (grouped by gender) with staff supervision nearby.

  • Accommodation includes:

    • Breakfast

    • Access to social areas for supervised downtime

    • Bed linen (towels may be required)

  • All dietary needs and allergies must be shared in advance.

Tennis Gear

  • Tennis racket(s)

  • Tennis/sports clothing for multiple days

  • Tennis shoes

  • Cap or visor

  • Sweatbands (optional)

Clothing & Personal Items

  • Comfortable clothing for evenings

  • Waterproof jacket

  • Swimwear 

  • Toiletries

  • Pyjamas and underwear

  • Trainers for non-tennis activities

  • Sun cream

  • Refillable water bottle

  • Towel(s)

Do Not Bring

  • Expensive jewellery

  • Tablets or gaming devices

  • Excessive cash

  • Items that could be lost or damaged

Behaviour Expectations

Participants are expected to:

  • Show respect to coaches, staff, and peers

  • Follow safety rules on court and in accommodation

  • Uphold good sportsmanship

  • Use equipment responsibly

  • Stay within designated supervised areas

  • Follow bedtime and rooming expectations

  • Serious breaches may result in parents being contacted and, where necessary, the child being collected early.

Communication During the Trip

Parents will receive:

  • Confirmation of safe arrival

  • Updates or photos via ___ (e.g., WhatsApp or email)

  • Emergency contact numbers for staff during the trip

Children will not be permitted to bring mobile phones to ensure safety and focus.

Emergencies & First Aid

  • Basic first aid provided by qualified staff

  • Emergency services used if required

  • Parents contacted at the earliest possible moment

  • In loco parentis permission enables staff to authorise emergency treatment when necessary
